Before relying on a new PMS, prepare your properties, rules, future bookings and blocks. The opening calendar needs to represent what you can actually provide to guests. Creating an account is a starting point; it does not establish that inventory has been checked or channels connected.
1. Identify each physical unit
Use names the team recognizes. Record capacity and meaningful differences. Avoid abbreviations that make two different units look interchangeable. If you sell room categories, document which units can fulfill a booking and confirm that the selling model is supported.
2. Gather rules and selling conditions
Prepare arrival and departure times, occupancy limits, selling conditions and operating instructions. Identify who maintains each record. Do not copy a rule from one channel to another without checking that it matches the offer you intend to sell.
3. Account for existing commitments
Review future bookings, including dates, assigned units, references and confirmed changes. Include maintenance, owner use and other unavailable periods. A property closed for repair belongs in the physical inventory but is not available to sell.
Illustrative example: you manage two apartments, and one needs repairs for three days. Before using the new calendar, verify that the repair period is unavailable. Registering both apartments does not resolve that block.
4. Separate preparation from connection
Importing listing information is different from connecting a channel account. Confirm which system receives bookings, where rates and availability are changed, and who validates the result. Keep any assisted step visible rather than treating it as completed.
5. Assign the opening checks
Choose who checks the records and who handles a discrepancy. Test a booking, a date change and a block using the agreed procedure. Before the team relies on the new workflow, check what each person can see and change.
For each check, record the information, its source, the owner and anything unresolved. A visible question is more useful than a confirmation nobody verified.
Create your InnSync account and review the PMS scope. Channels and configuration are validated for your operation; signup does not automatically open sales.
