Checking a booking calendar means confirming that it represents what you can provide to guests. Review arrivals, departures, current stays, blocks and recent changes. When you find a discrepancy, identify its source before moving a booking simply to make the calendar look right.
1. Arrivals and assigned units
Check who is arriving, which unit they will occupy and which outstanding tasks affect handover. If the booking is for a room category, follow your allocation procedure. The person welcoming the guest needs to know which unit can actually be provided.
2. Departures and extensions
Review expected departures and confirmed extensions. A longer stay can affect the next arrival. Check the reference for the change before treating a unit as available for cleaning or sale.
3. Blocks and their owners
Review maintenance, owner use and other unavailable periods. Identify who follows each block and what must happen before the property is released. Reaching the expected end date does not establish that a repair is complete.
4. Changes since the last check
Review new bookings, modifications and cancellations. If a channel calendar differs from the PMS calendar, investigate the source and connection state before changing records. Being able to open both calendars does not establish that they are synchronized.
5. Same-day departures and arrivals
Identify units with a short gap between guests. Confirm owners, timing and outstanding cleaning or maintenance. Sending a team notification does not establish that a property is ready; obtain the relevant operational confirmation.
Illustrative example: the calendar shows a morning departure, but another record contains a confirmed extension. Before preparing the unit for another arrival, reconcile the change and organize the affected bookings.
What to record when something differs
Write down the date, unit, expected event, discrepancy, next action and responsible person. Keep the reference for the confirmation. The next team member can then continue without reconstructing the whole conversation.
Explore InnSync PMS or start with your property. Each channel requires configuration and validation; creating an account does not prove synchronization with Airbnb or Booking.com.
