OwnerRez cleaning schedules: what is built in, and how to run checklists and cleaner confirmations

"The cleaner said she'd text me when she's done." It is 2 p.m. on a turn day, the guest arrives at 4, and you are scrolling a group chat to find out whether unit four is ready. You have scheduled the cleanings and texted the cleaners, and you still cannot answer that one question. This is common once a portfolio passes a handful of units: the routine lives in people's heads and in message threads. This article covers what OwnerRez gives you for cleaning, where the routine is yours to define, and three ways to run it.

The short answer

OwnerRez lets you set a cleaning date and time for each booking and assign team to-dos in its Tasks area. A checklist per unit, a cleaner confirmation for every checkout and proof that the work was done are parts of a routine, and as a portfolio grows that routine needs an owner. You can build it from Tasks, from a housekeeping partner, or from a routine layer next to OwnerRez.

What OwnerRez gives you

A cleaning date and time per booking. Housekeeping Scheduling says OwnerRez offers "a single scheduling option": you specify a day and/or time for the property to be cleaned after a booking, and it shows in the booking popup, the Booking Overview and Contact Info. If the checkout time changes, the cleaning date and time stay as they were, provided they are later than the new checkout date. So when a stay is moved, someone has to look at the cleaning too.

Tasks. The Tasks overview describes a central place for housekeeping, maintenance and other property tasks. The setup article lists what a task holds: category, name, description, status, assignee, property, booking, a priority flag and attachments. Tasks can be assigned to team-access staff members, carry notes with photos and files, be resolved with a status such as Completed or Already Handled, and trigger notifications. With Rezzy AI enabled, tasks are also created from guest messages that contain a request or an issue.

Cleaner logins. In Team Access, Portal User access lets owners, cleaners and maintenance staff view availability calendars and Tasks. Each portal user gets a separate login, scoped to one or more properties.

Housekeeping partners. The same Housekeeping Scheduling article says OwnerRez integrates with companies that "specialize in providing detailed housekeeping and maintenance scheduling capabilities, including some that are free for OwnerRez users," and that your cleaning dates and times may be synced to them. The integrations directory lists housekeeping partners such as Breezeway, Turno and TIDY.

What these articles do not describe is a task created automatically from every checkout, a checklist defined per unit, or a cleaner marking items done with photos required. They may exist in a partner tool or in a setup we did not read, so confirm in your own account.

The routine questions that appear as you grow

The software question is secondary to five operating decisions. Write them down per unit.

  1. Trigger. What starts a cleaning: every checkout, or only some? What happens on a same-day turn?
  2. Ready. What does ready mean for this unit? A checklist turns that into a list a cleaner can finish, not a feeling.
  3. Confirmation. How does the cleaner say started, finished, or blocked? In a group chat, the answer is buried; in a link with a completion state, it is visible.
  4. Visibility. Who can see readiness before the next arrival, and where?
  5. Change. When a stay moves, who moves the cleaning? After a checkout change, the existing cleaning schedule stays as it was when it is still later than the new checkout date; check it whenever a stay moves.

An illustrative scenario, not a customer: a Saturday with six units and two same-day turns. The cleaners confirm by text, the owner of the portfolio reads three threads to learn that unit four is not done, and a guest asks whether the unit is ready. The tool did not fail. Nobody had defined which message counts as confirmation.

Three ways to run it

Limits worth stating. A checklist does not replace your cleaners or decide who to call; it gives the team one standard and gives you one record. InnSync does not dispatch an outside crew on its own. And if a housekeeping partner already runs your cleanings, adding a second checklist system creates the problem it was meant to solve, so pick one record per unit.
