Airbnb automated messages: templates for the questions every guest asks

You wrote the Wi-Fi password into a message once. Then you pasted it again for the next guest, and the next. Now it is a Tuesday night, three guests have asked where to park, and one asked for the door code that is already in the check-in message you forgot to send.

That is the whole problem with guest messaging in a growing rental business: the questions are predictable, the timing is not, and the answers live in your head, a notes file, and a few old threads.

Why the same questions keep coming

Guests ask the same things because the answer is not in front of them at the moment they need it. They booked weeks ago. The arrival details land late, or in a thread they stopped reading. So they ask again, and each ask pulls someone into the inbox.

Adding units makes it worse in a specific way. Each unit has its own parking, its own lock, its own quirks. A template that was right for one home is wrong for the third. That is a content problem, not a speed problem, and it is fixable.

What Airbnb's messaging tools cover

Airbnb's own help content describes quick replies as short, pre-written messages saved as templates, with placeholders such as the guest's first name. You can edit Airbnb's templates or write your own, and send them right away or schedule them: Airbnb's examples are 5 minutes after a guest books, or 1 day before check-in. You set this under Messages settings, Manage quick replies, then Schedule for.

Airbnb's Summer Release 2026 note (published May 20, 2026) adds auto-replies that draw on your amenities, listing description and house manual. Hosts can delete or replace those replies. The note describes them as rolling out over the following months, so check whether your account has them.

Six templates to copy

Replace the bracketed parts. Keep each message to one job.

1. Booking confirmed (send 5 minutes after booking)

Hi [first name], thanks for booking [unit name] for [dates]. You'll get arrival details closer to check-in. If you have questions before then, reply here. For quick answers: check-in is from [time], checkout is by [time].

2. Before arrival (send 1 day before check-in)

Hi [first name], you arrive tomorrow. Address: [address]. Parking: [where, how many cars]. Your door code is [code or "sent separately"]. If anything looks different when you arrive, message me here and I will answer as fast as I can.

3. Wi-Fi and house basics (send after check-in time)

Welcome. Wi-Fi: [network] / [password]. Trash goes out [day]. Thermostat: [one line]. The full house manual is in your reservation under Trips.

4. Mid-stay check (send on day 2 for stays of 3+ nights)

Hi [first name], is everything working as expected? If anything needs attention, tell me now and I will sort it out while you are still here.

5. Checkout (send the evening before checkout)

Checkout is at [time] tomorrow. Please [lock up / leave keys / start the dishwasher]. No need to strip the beds. Thank you for staying.

6. Review request (send after checkout)

Thanks for staying with us, [first name]. If the stay worked for you, a review helps us a lot. If anything didn't, tell me and I will fix it.

Two rules make these work. First, one fact per line: guests skim, and a paragraph hides the parking instruction. Second, say what happens if something is wrong. Make the contact instructions easy to find so guests know where to ask for help.

Where templates still need a person

Airbnb supports reservation placeholders and messages scheduled around booking events. Your team still needs to review manually entered details and confirm operational facts, such as whether cleaning is complete.

  • A schedule copied by hand can drift from the booking when a guest changes dates.
  • A canceled stay can still get a message if the schedule was copied by hand.
  • The unit is not ready yet, but the check-in message says come on in.
  • The guest asks something the template did not cover, and the answer is in the booking, the house rules, or another thread.

None of this is a flaw in quick replies. A template holds what you wrote. The gap opens when there are more bookings than a person can re-check each day.
